Managing Documents for Trips & Activities

Tripsy PRO Feature:  Adding and managing documents requires an active subscription to Tripsy PRO or our Lifetime PRO purchase. You can find out more about Tripsy PRO here

Whenever you travel, you're likely to have lots of documents for your trip, from booking confirmations, restaurant menus, event tickets, and of course all those receipts you may need later on for yo your expenses.

Tripsy has two ways for you to store documents, either at the trip level (e.g. your travel insurance documents) or at an activity level (e.g. a receipt, menu, or ticket for a given event on your itinerary).

Adding Trip Level Documents

To add documents to your trip, just tap the + icon to the right of the Documents heading, which is usually towards the bottom of the trip's homepage. You'll then be given the option of how you want to add a document.

  • Import Document: This opens the native file picker on iOS or macOS and allows you to choose any files available on your device (or in the case of iOS any connected cloud services from the Files app such as iCloud, OneDrive, Google Drive, NextCloud). This is perfect for already downloaded PDFs or other files you may want ot attach.
  • Save Link: You can quickly add a link to a webpage here, and pressing the Paste Link button will paste the last link copied from your browser. You can use this for things like travel information, VISA details, or maybe just some Wikipedia links about the country you're visiting.
  • Choose Photo from Library: You can add any photo (or video!) into your trip's documents. You may, for example, want to store a photo of your passport in case or emergency, or a photo of which section of the airport parking lot you left your car in.
  • Take a Photo: Opens the camera interface for you to take a photo to be saved into your trip's documents. These photos are not  saved into your device's camera roll.
  • New Note: Lets you add a plain text note to the trip itself, very handy for text only information such as any VISA waiver information or similar trip-wide details you may want to save.

Adding Documents to Specific Activities

Adding documents to specific activities is done by going into the activity itself, then you'll see a section for Add File, Photo or Link towards the bottom of the activity details.

Once tapped, you'll have the same options as above for trip-level documents, with the exception of 'New Note' as each activity has its own notes field.

Adding Documents via the Share Sheet

As well as adding documents within Tripsy, you can add documents (including photos and videos) from any app that can share the file via their share sheet.

When you share the file to Tripsy you'll be asked to choose a trip (we'll default to your current trip) and then if you want this to be added to either the trip documents or a specific activity for that trip.

Below is an example from the Files app, do make sure you're choosing the 'Send a Copy' option rather than sending a link.

Removing Documents

If you need to remove a document from a trip or an activity, just tap and hold on the document in question and then tap Remove Document (or Remove Link if you're removing a link).

In the trip's documents list, accessed by tapping on the Documents heading, you can also swipe-left to reveal the delete icon for a given document.

Frequently Asked Questions

  • Is there a limit to the number and size of documents I can store in Tripsy?
    • No, we don't impose any limits on what you can add to your documents.
  • Can I rename a document after adding it to Tripsy?
    • Yes, just tap and hold on the document in question and choose Rename Document to set a new title. For example you may have added a file named pie_menu_winter_2025.pdf but want this to simply show as Pie Menu.
  • I added a document to a trip, can I link that to an activity after adding this?
    • Yes, just tap and hold the document in the documents list and choose Link to Activity to choose an activity within the same trip to link this to. Or, if you've added a document to the wrong trip, you can change the trip here too.
